Replacement Cycles: When to Reorder Fleet & Plant Hose

Ask ten fleet engineers when a coolant hose should be changed and you get ten different answers. Ask ten distributors when they should reorder that hose and the answer ought to be identical every time: before the shelf is empty, and early enough to cover the lead time. Two different questions – and only the second one is yours to control.

So this guide does not hand you a replacement interval. No honest mileage figure or number of years holds true across a gritter working winter nights, a plant hire excavator on demolition and a van doing steady motorway miles. Heat cycles, coolant chemistry, vibration and how close the hose sits to a turbo all move the goalposts. What we can give you is more useful anyway: the physical signals that tell a workshop a hose is going, and the stockholding arithmetic that tells you when to put the next order in.

Your customer—the maintenance manager—buys on condition and downtime, not on a calendar. Your job is to have the right bore on the shelf the day their inspection flags it.

What a Failing Hose Actually Looks Like

These are the signals your customers report and the ones your counter staff should be fluent in. Not one is a date on a calendar — all of them are things a fitter can see or feel on a routine inspection.

Softening at clamp points
Squeeze just behind the clamp band. If it feels spongy, or collapses more readily than the same hose mid-run, the wall has lost structure where it is most compressed. Fitters find this long before anything leaks.
Swelling or a soft bulge
A section grown proud of its neighbours usually means fluid attack or a heat excursion. On fuel and oil lines it points to the wrong liner for the fluid – a fluorosilicone-lined hose rather than a coolant grade.
Hardening and loss of flex
The more dangerous failure, because the hose still looks fine. Gone hard and glassy, it cannot absorb vibration and splits at a bend or shears at the stub. Flex it by hand against new stock.
Crazing and weeping
Fine cracks on the outside of a tight bend, or dried coolant fanning out from under a clamp. Weeping hot and dry cold is still a failure – it just has not stranded the vehicle yet.

The single most useful check on the list: pinch the hose just behind the clamp band and compare it against the same hose mid-run. Coolant staining around the clip, as here, says the seal is already intermittent.

The Four Numbers That Set Your Reorder Point

Stockholding is arithmetic, not instinct. Four inputs decide when you order and how much, and none of them requires you to know how long a hose survives on a customer’s vehicle.

Usage rate
How much of each bore actually leaves the shelf per month — what the till says, not what you think sells. Most stockists find three or four bores carry the bulk of movement.
Lead time
From raising the order to sellable stock. Short on our core lines: next-day delivery, or same-day collection from Mirfield. Bespoke and custom-branded work runs longer, so it needs a longer runway.
Coil and pack quantity
You cannot buy 7 metres of a 50-metre coil. Silicone heater hose lands in 50-metre coils and coolant hose in 20-metre coils, so the coil sets your order quantity, not your ideal number.
Buffer stock
Cover for the week everything goes wrong at once. Size it by consequence: a bore that stops a customer's tipper earning deserves deeper cover than one that sits for a quarter.

A Reorder Trigger Checklist

Set this up once and it survives holidays, staff changes and a busy week.

Set a min and max per bore
Min is where you order. Max is what you order back up to, rounded to whole coils or boxes. Two written numbers per line beat memory every time.

Work out the reorder point
Weekly usage × lead time in weeks, plus buffer. A bore selling 15 metres a week on a one-week lead time with a week of cover triggers at roughly 30 metres.

Review fast movers weekly
Your top few bores and their clips get a weekly look, not a glance when someone notices a gap. Long-tail sizes can run monthly or quarterly.

Trigger clamps alongside hose
Hose rarely leaves alone. Restock 19mm and 25mm hose without the worm drive clips and T-bolt clamps to suit and you sell the hose but lose the attachment.

Batch up to the minimum
Consolidate triggered lines into one order clearing the £500 ex-VAT minimum. One delivery, one set of paperwork, better landed cost per metre.

Spec the Replacement, Not Just the Part Number

The other half of getting replacement right is making sure what goes back on is at least the equal of what came off. These figures come from our live product datasheets across the silicone hose range and automotive hose range, and they hold a few traps worth knowing before you quote.

Continuous temperature −50°C to +180°C on our core silicone coolant, radiator, heater and fuel & oil lines. Where our own sources quote a higher ceiling on specific vehicle kits we publish the conservative figure – check the individual product datasheet before speccing to the limit.
Pressure falls as bore rises 3-ply silicone radiator hose: 10 Bar working / 30 Bar burst at 6mm ID, 8.3 / 27 at 13mm, 5.5 / 16.5 at 25mm, 4 / 12 at 63mm. A big-bore replacement is not a scaled-up small one.
Wall and ply step up 4.5mm wall, 3-ply up to 48mm ID; 5.5mm wall, 4-ply from 51mm to 63mm ID. Worth knowing when a customer asks whether the replacement sits in the same clamp range.
Coil lengths set order quantity Heater hose in 50-metre coils, 7.8kg at 6mm ID to 25.3kg at 25mm. Coolant hose in 20-metre coils from 13mm to 32mm ID, dropping to 5-metre at 51mm. Plan racking and carriage weight around it.
Matching clamps Worm drive clips to DIN3017, 0.8mm band thickness, 12mm band width across the smaller ranges. T-bolt clamps step 18mm to 20mm band width, M5 × 40 to M6 × 50 screws.
Nobody can tell you how long a hose will last. Anybody can tell you how long it takes to replace one on your shelf — and that is the number that decides whether you make the sale.

How often should fleet coolant hose be replaced?
We will not print an interval, because an honest one does not exist. A hose idling at high coolant temperature on plant all day ages nothing like the same part on a motorway van. Replacement should be driven by inspection – softening at clamp points, swelling, hardening, crazing, weeping – and by the operator's own maintenance schedule. Your reorder point, by contrast, is pure arithmetic: usage, lead time, buffer.
What should I actually hold in stock?
Start from what moves. Pull three months of sales, rank by bore, hold real depth on the top few plus the clips that pair with them. Long-tail sizes can run lean while your lead time is short — which is the point of buying from a distributor holding stock.
